Types of Services
Depending on the department to which your employees report, or based on their skillsets for example, you can assign them under their Type of Service and define a price per hour to that service or employee.
For example, one employee may be assigned to Accounting Projects where you charge $70/hour, and that same employee might also work as a Consulting Officer where you charge $120/hour.
Once those settings are made, your employees can report both their real and billable hours and you can track hours, expenses, estimates and invoices to maximize productivity, results, and profits.
Having a mix of employees and subcontractors working for you can be an ideal situation, but it presents its own complications. Now with W3B Solutions, your people will report all hours they work for your customers, and will send invoices to you within the W3B Online Invoicing.
You will review and record invoices, and pay workers at the rate you defined under Type of Services. You can pay via PayPal or CC, or by check.
An important aspect of the system is that you also track Expenses. Any expenses you or your people need for a project can easily be attached to that project (including digital receipts). Invoicing simplified!
Task Manager Reports
With hours reported by your personnel, you are ready to collect reports and send them to partners or customers.
Task manager reports can be filtered by Dates, by Employee Name and by Customer Name. Now you can see exactly how many hours each of your employees worked and you can see exactly how much to invoice.
Reports can be exported as Excel or pdf files. Listings are grouped by Customers and then by Projects and then Order by Date; providing total number of Hours per Project and per Customer.
During the working phase of a project, you must set certain goals in order to better understand where the current project is at, therefore you define milestones. A milestone can encompass a number of activities (tasks), which are planned at the beginning of the project.
After you define a set of milestones and each containing tasks with individual timelines and statuses, you can then view them plotted on the Gantt chart. Gantt charts illustrate the timeline of your project, in such a way that it gives you a visual representation of the overall project’s’ schedule.
Milestones can be used from one project to another and, once defined, they will be displayed under each new or existing task. The Gantt chart can show them in any order you want.
Within our W3B mobile app (available for iOS and Android) you can find a new feature called Task Timer. This application will find its use among companies that have employees who work outside of the office, or perform on-site tasks for support calls, or even companies that work with hourly rates and thus have the need to be able to track said work in an exact manner.
In order to not take up a worker’s time, the app has a user friendly interface. To start the timer they need to simply press the Start button and then click on the task name in order to select it. That is it: now thee timer will start recording.
During recording, the employee can add a report about the work done and select between billable and nonbillable tasks, after which he can stop the timer.
Each project is a template! Using the duplicate projects and tasks functionality, you can create a project template project for each of your account managers so that they can simply start a new project by duplicating the template and then filling it out from there. We estimate the utilizing a project template eliminates about 50% of the project set-up time for each project.
Once you create a new project from a template, all template project’s details will be moved over: assigned customer, manager, category, type, source, associated employees, description and other project details. The two dates for start and end, will be default to today date.
